Docs / Team access

Give your team access to a domain

Add people to a domain in Postwing without sharing an account. Each membership belongs to one domain, so the same person can own one domain, manage another, and have read-only access to a third.

Only an owner can invite people, change member roles, remove members, change the plan, or delete the domain. If you already had access before roles were introduced, you start as an owner because your previous access already included those actions.

Choose a role

RoleWhat the person can do
OwnerEverything, including members and invitations, plan and billing changes, and deleting the domain.
ManagerOperational work: SMTP tokens, templates, DNS checks, webhooks, inbound routes, event exports, unsubscribes, DNS setup share links, test messages, and support tickets. A manager cannot manage access, change the plan, or delete the domain.
ViewerRead-only access to the domain, DNS status, mail log, analytics, templates, webhooks, and the rest of its screens.

Roles never hide readable information. A manager or viewer sees the same screens, but unavailable write controls are hidden and the panel explains why the screen is read-only.

Invite someone

  1. Open the domain, then go to Settings → Invites.
  2. Select Send invite.
  3. Enter the person's email address and choose Owner, Manager, or Viewer. Manager is selected by default.
  4. Select Send invite. The invitation is sent using the domain's brand and language.

The invitation expires 14 days after it is sent. You cannot keep two open invitations for the same email address on the same domain; revoke the existing one or wait until it is no longer open before sending another.

Resend or revoke an invitation

In Settings → Invites, an owner can select Resend for an invitation that has not been accepted. Resending keeps the same link and code and moves the expiry another 14 days forward. You can resend an invitation at most once per minute; if it was just sent, the panel asks you to wait a minute.

Delete a pending invitation to revoke it. Its link stops working immediately. An accepted invitation cannot be resent.

Accept an invitation

The email links to a public invitation page. You do not need an account to open it.

  • If you are signed out, the page names the domain and offers sign-up and sign-in with the invited address prefilled. After authentication, the invitation is accepted and you land on the domain.
  • If you are signed in, review the domain and role, then select Accept invitation.

Your account email must match the invited address, ignoring letter case. If you are signed in with another account, the panel names the address the invitation belongs to and refuses acceptance. Sign out and use that address, or ask the owner to invite the account you want to use.

A missing, expired, accepted, or revoked link shows the same This invitation is no longer valid state. Ask a domain owner for a new invitation.

Change or remove a member

Open Settings → Users. An owner can choose a different role for another member or select Delete to remove that member's access.

  • You cannot change your own role. Ask another owner to change it.
  • You cannot remove yourself from the domain on this screen.
  • You cannot remove or demote the last owner. Promote or invite another owner first.

The panel refuses each of these actions with an explanation. These checks keep the domain from losing its only person who can manage access.
